Campaigns and sequences

A campaign is how you reach a group of people with a planned series of emails. This page covers building the sequence, timing it, and starting it safely.

Campaign, sequence, step

A campaign holds a sequence, and a sequence is made of steps. Each step is one email plus the rules around it, such as how long to wait before sending it. A common sequence is a first email, a follow-up three days later, and a final nudge a week after that.

Building a sequence

  1. 1Create the campaign from the Campaigns page and give it a clear name you will recognize later.
  2. 2Write the first email. Keep it short and relevant. Use personalization fields such as first name and company where it reads naturally.
  3. 3Add follow-up steps. For each follow-up, set the wait time in days. Most people reply to a second or third touch, so follow-ups are worth having.
  4. 4Set your stop conditions so the sequence ends when it should (covered below).
  5. 5Choose the sending settings, including which mailbox sends, the daily limit, and the sending window.

Stop conditions

Stop conditions decide when a person should drop out of the sequence so they do not keep getting follow-ups when they should not. The common ones are:

  • Stop on reply: once someone answers, they stop receiving the rest of the sequence. This is almost always on.
  • Stop on bounce: if the address bounces, stop trying to reach it.
  • Stop on unsubscribe: if someone opts out, they are removed from sending right away.

Sending window and daily limit

The sending window is the days and hours the campaign is allowed to send, in your workspace time zone. The daily limit caps how many emails go out per day. Together they spread your sending out so it looks natural and protects your mailbox. If a campaign has more people than the daily limit allows, the rest wait in the queue for the next day.

Adding contacts to a campaign

Open a campaign and use Add contacts to enroll people. You can add from a tag, a segment, or a selection. When you add them, you choose which mailbox will send to them. By default this is the mailbox the campaign already uses, so your sending stays consistent. See Contacts and lists.

Test before you send

Always send a test

Use Send test email to send any template to yourself. Read it as a recipient would. Confirm the personalization fills in, the links work, and the signature is right. A single typo in a link can waste a whole campaign.

Starting and pausing

You can start, pause, and resume a campaign at any time. Pausing holds everyone in place. Resuming picks up exactly where the sequence left off, so no one is skipped or sent to twice.

Reading campaign progress

On the home page and the campaign detail page you can see how a campaign is doing: how many people completed the sequence, how many bounced, how many stopped early, and how many are still in progress. A campaign is finished when nothing is left in progress, even if some people bounced or stopped. The Analytics guide explains these numbers.
